New Client Setup

Welcome to the family!

I look forward to getting started!   To set up your new service I will need some information.  Click on each step below to view details on how to get off to a great start.

What to expect

All information requests and updates will be provided via email.  Your prompt response is encouraged to avoid service delays.

Please "whitelist" our email addresses so you won't miss anything.  All email communications will come from @floridavirtualbookkeeper.com addresses.

Access and reports from our financial analytics dashboard will come from @flvirtualbookkeeper.acc.report

Check your email for the Recurring Payment Authorization form.  If you wish to pay with a credit card, you can click here to securely provide the information.

Once this step is complete, you will get another email with next steps.

If I am setting up a new company file for you, you don't need to worry about this, I will do it for you.   If you already use online accounting software, I will need you to please follow the steps below:

In QuickBooks Online:
From the home screen, click on the Gear icon and beneath the column heading labeled “Your Company” select the "Manage Users" link.

Click "Invite Accountant" to open a new invitation.  Enter [email protected] and click "Next".  Then click "Finish" and you are done!

In Xero:
In the Settings menu, select General Settings -> Click Users -> Click Invite a User.
Enter [email protected] in the e-mail address field.  Choose "Advisor" as the user role. Click Continue and then click Send Invite.

There are several ways for you to do this.  If you selected the online filing or green package add-on, I will be setting a Hubdoc account up for you and providing instructions on how to connect your bank accounts.

Option 1- Grant me "view-only" online access to your bank and credit cards (PREFERRED)
Each bank handles online access differently and not all offer accountant or guest logins, this page includes a link for some banks.  If your financial institution isn't listed, please contact your bank for additional information on how to do this.

 

Option 2- Give me bookkeeper access to your Hubdoc account
From your Hubdoc account: Click 'Accounts' in the top right corner, click on the 'Profile' tab, under the 'Invite users to access your Hubdoc account' heading, enter [email protected]

If you configured automatic bank connections in Hubdoc, I will be able to access the statements automatically as long as the connection works.  Otherwise, you will need to upload your information every month via their website, by e-mail to your Hubdoc address or through their mobile app.

Option 3- Upload files through the client portal
You can submit your bank statements and other documents in PDF format through the file upload portal here.  Click here and bookmark the page for future reference.  Or just click the "Client Portal" button at the bottom of every page on this website.

You will receive an e-mail with a form to fill out with your details.  Please complete and submit at your earliest convenience.

Depending on the services you selected, you may receive additional emails and requests for information, for example, a form to collect information needed to setup your new accounting file.

If you provided me with view-only bank access for all accounts, you don't have to worry about this step.

We ask that you do not submit financial documents via email as this is not secure.

 

We will email you every month with any transactions that we need your feedback on, request any pending information, and provide you with updates and reports as applicable for the level of service that you selected.
